This Privacy Policy explains how Swim Entries Manager (“we”, “us”, “our”) collects, uses, and protects information when you use the Swim Entries Manager Google Workspace Add-on (the “Add-on”).

1. Scope
This Privacy Policy applies only to the Swim Entries Manager Add-on and related support services.

When you use the Add-on, we may process:

Spreadsheet content that you choose to create, edit, or export using the Add-on, including swimmer entry data and event/school/team details.

Technical and operational data, such as error logs and basic usage events needed to operate and troubleshoot the Add-on.
We do not sell personal information.

Provide Add-on features (table creation, template duplication, CSV export).

5. Google APIs and Limited Use
The Add-on uses Google APIs and requested OAuth scopes only to provide user-facing functionality in Google Sheets. Use and transfer of information received from Google APIs will adhere to the , including the Limited Use requirements.

With service providers acting on our behalf (for hosting, logging, or support), under confidentiality obligations.

To protect rights, security, and integrity of users, the Add-on, and the public.
We do not share Google user data with third parties for advertising purposes.
7. Data Retention
We retain data only as long as necessary to provide the Add-on and meet legal, accounting, or security requirements. Spreadsheet content remains in your Google environment unless you export, copy, or share it.
8. Security
We use reasonable administrative, technical, and organizational safeguards to protect information. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
9. International Transfers
If data is processed outside your country, we take appropriate steps to protect it in accordance with applicable law.
10. Your Rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of your personal data, and to data portability. To make a request, contact us at recorder@lvwasc.co.nz.
11. Children’s Privacy
The Add-on is intended for authorized school, club, and meet administrators. We do not intentionally collect personal information directly from children through the Add-on interface.
12. Third-Party Services
The Add-on operates within Google Workspace and may link to external services (for example, a CSV-to-SDIF converter). Those services have their own privacy policies and practices.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version with a revised “Last updated” date.

These Terms of Service (“Terms”) govern your use of the Swim Entries Manager Google Workspace Add-on (the “Add-on”), provided by LVWASC / Liz van Welie Aquatics Swimming Club (“we”, “us”, “our”).
By installing or using the Add-on, you agree to these Terms.

1. Eligibility and Authority
You represent that:

You are legally able to accept these Terms.

If you use the Add-on on behalf of an organization, you have authority to bind that organization.
2. License and Permitted Use
The Add-on source code is licensed under the MIT License (LICENSE). Your rights to use, copy, modify, merge, publish, distribute, sublicense, and/or sell copies of the software are governed by that license. When redistributing the software, include the copyright notice and MIT permission notice as required by the MIT License.
You may not:

Use the Add-on to violate laws, regulations, or third-party rights.

Interfere with or disrupt the Add-on, Google services, or related systems.
3. User Responsibilities
You are responsible for:

The accuracy and legality of data entered into spreadsheets.

Obtaining all required permissions and consents for personal data you process.

Managing access permissions to your Google Sheets and exported files.

Keeping your Google account credentials secure.
4. Privacy
Your use of the Add-on is also governed by our Privacy Policy: docs/PRIVACY_POLICY.md.
5. Third-Party Platforms and Services
The Add-on depends on Google Workspace and Google APIs, which are governed by Google’s terms and policies. If you use third-party tools linked from the Add-on ecosystem (for example CSV conversion tools), those tools are governed by their own terms.
6. Availability and Changes
We may modify, suspend, or discontinue all or part of the Add-on at any time, with or without notice. We may update these Terms by posting a revised version with a new “Last updated” date.
7. Fees
Unless explicitly stated otherwise, the Add-on is provided without a separate license fee. We may introduce paid features in the future, subject to clear notice and updated terms.
8. Intellectual Property
The Add-on, including code, branding, and documentation, is owned by us or our licensors and protected by applicable intellectual property laws. The software is made available under MIT License terms. If these Terms conflict with the MIT License regarding rights to the software, the MIT License controls.
9. Disclaimer of Warranties
The software is provided “AS IS”, without warranty of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, and noninfringement.
10. Limitation of Liability
In no event shall the authors or copyright holders be liable for any claim, damages, or other liability, whether in an action of contract, tort, or otherwise, arising from, out of, or in connection with the software or the use of or other dealings in the software.
11. Indemnity
You agree to indemnify and hold us harmless from claims, liabilities, damages, and expenses arising from:

Your violation of applicable law or third-party rights.
12. Termination
You may stop using the Add-on at any time by uninstalling it. We may suspend or terminate your access if you violate these Terms or if required for legal, security, or operational reasons.
These Terms are governed by the laws of New Zealand, excluding conflict of law rules. Subject to mandatory consumer law, courts of New Zealand will have exclusive jurisdiction.
